Finance, tax and accounting

The office closes the month with no retyping.

The invoices, work orders, harvest and fueling the farm already logs become bills to pay, the producer's cash book and accounting entries. Finance and the accountant work on the same data from the field.

Log it once

One entry, three destinations.

What happens on the farm is recorded once, by whoever is there: in the portal, in the app or through UPí. Management, income tax and accounting all come from that.

  • Management

Every amount in its management account, cost center, season and field. It's the number the manager uses to decide.

  • The producer's income tax

The tax cash book builds itself from the month's payments and receipts, and the LCDPR comes out of it at year end.

  • Accounting

Debit and credit for every event of the month, in the accounts of your accountant's chart. Nobody types the invoice in again.

Finance

The farm's accounts up to date.

From the bill created by the invoice to the reconciled bank statement, with the approval your company requires.

How to set up finance, in the Help Center →
  1. Accounts payable and receivable

The finalized invoice becomes a bill, split by management account and cost center and tied to the season.

  2. Payment approval

Payment batches with approval levels by amount range. Whoever builds the batch doesn't approve it, and the remittance file goes to the bank.

  3. Bank reconciliation

The bank statement is imported and matched, line by line, with installments and transfers.

  4. Month-end close

A closed period doesn't change anymore. A report for a closed month gives the same number six months from now.

  5. Cash flow and income statement

Cash flow, statements and a management income statement, in reais, dollars or guaraníes.

Individual growers

Cash book and LCDPR ready.

The LCDPR, the Brazilian rural producer's digital cash book, comes from what finance has already recorded, one taxpayer ID (CPF) at a time.

How to generate the LCDPR, in the Help Center →
  1. Tax cash book, month by month

Each grower's farm income and expenses, with the accountant adjusting the classification where needed.

  2. Owned, leased and shared land

Owned, leased, sharecropped or jointly held land, with each party's percentage. The partner's share goes into the partner's book.

  3. The LCDPR file

One file per CPF per year, checked first against a checklist, with the filing and any amendments kept on record.

Accounting

Accounting comes from the operation.

The accountant imports their chart of accounts and says once which account each type of event goes to. Every month, upCampo builds the entries.

How accounting works, step by step →
  1. Your accountant's chart

Imported from a spreadsheet, with the same code for each account. If the chart changes, import it again: it updates without duplicating.

  2. The month's entries

Invoices, work order write-offs, harvest, fueling, requisitions, payments, receipts and depreciation. Anything without an account shows up as pending, with the reason.

  3. Taxes and depreciation

ICMS, PIS, COFINS and Funrural (Brazilian taxes) calculated per issuer, and depreciation of the fleet's machines and improvements.

  4. Books and financial statements

Journal, ledger, trial balance, income statement and balance sheet, with the month-end close.

Tax documents

Invoicing in the same place.

  • NF-e and MDF-e

Brazilian e-invoices and freight manifests, issued with the farm's A1 digital certificate, from the load ticket and the contract.

  • Incoming invoice by access key

The supplier's invoice comes in by access key, and the product goes into inventory at the right cost.

  • Returns

The return invoice is built from the incoming invoice, with the reference key already in place.

Included in the full platform.

Finance, tax and accounting are part of up.360, with UPí, at no extra cost. Up to 1,000 hectares, at the minimum contract of R$ 15,000 a year.

Frequently asked questions about farm finance and accounting

Does upCampo do the farm's accounting?

upCampo generates the bookkeeping from what the farm already logs: invoices, work order write-offs, harvest, fueling, requisitions, payments, receipts and depreciation. The accountant imports their chart of accounts, sets the rules for each type of event once and, every month, reviews the entries, handles pending items and adds anything they want by hand. Technical responsibility stays with the accountant; what ends is the retyping.

How much do finance and accounting cost at upCampo?

Nothing extra: finance, the cash book with the LCDPR, accounting and invoicing come with the full platform, up.360, together with UPí. Up to 1,000 hectares, the minimum contract is R$ 15,000 a year; above that, R$ 15 per hectare of cropland. See pricing.

Does upCampo generate the rural producer's LCDPR?

Yes. The LCDPR (Livro Caixa Digital do Produtor Rural, the Brazilian rural producer's digital cash book) comes from the tax cash book, in the Finance menu: one file per CPF per year, with the properties farmed, the bank accounts and the income and expenses of the farm activity. Before generating it, a checklist points out what's missing, and every file generated is kept, so you can compare the original filing with any amendments. The step-by-step guide is in the Help Center.

What's the difference between the tax cash book and accounting?

The tax cash book belongs to the individual grower and is used for income tax: the LCDPR comes from it. Accounting is the full bookkeeping, with debits and credits, required for companies and optional for individual growers. In upCampo both start from the same entries and can run side by side.

Do I have to re-enter what's already in the system?

No. Accounting and the cash book read straight from the source, no matter who logged it: the portal, the app, the API or UPí. The purchase invoice, the work order write-off and the payment are already there.

Does upCampo do bank reconciliation?

Yes. You import the bank statement and each line is matched to an open installment, a transfer between accounts or a new entry, such as a bank fee. Anything that doesn't match stays on the pending list, with name and amount.

How does payment approval work?

Through approval levels: amount ranges and, in each range, the steps and approvers. Bills to pay go into a batch, the batch goes through the approval levels and, once approved, generates the remittance file you upload to the bank. Whoever builds the batch doesn't approve it, and the company can require that no payment be settled outside an approved batch.

Does it work with my current accountant?

Yes. The chart of accounts is your accountant's, imported from a spreadsheet with the same code for each account. They review the journal, ledger, trial balance, income statement and balance sheet right in upCampo.

Does upCampo calculate taxes?

Accounting calculates, each month, the ICMS, PIS, COFINS and Funrural (Brazilian taxes) for each issuer, under each one's tax regime, and generates the corresponding entry. Simples Nacional (Brazil's simplified tax regime) is left out: that tax is the one paid through the DAS.

Does it work for companies and for individual growers?

Yes. Companies use full accounting; individual growers use the tax cash book and the LCDPR and, if they want, accounting too. In a group with several CPFs and CNPJs (individual and company taxpayer IDs), each one has its own book and its own tax calculation.

Does upCampo issue NF-e and MDF-e?

Yes. With the farm's A1 digital certificate set up, upCampo transmits the NF-e (Brazilian e-invoice) and the MDF-e (electronic freight manifest). The supplier's incoming invoice can be imported by its access key.
