Farm finance, step by step

How finance works in upCampo.

How money moves on the farm, from the incoming invoice to the reconciled bank statement. The bill comes from what the farm already recorded, goes through approval, leaves for the bank and comes back reconciled. At month-end, the number is locked.

How money moves

Six steps, one record.

Each step uses what the previous one left ready. Nobody types the same bill twice.

  • The setup

Cost centers, account categories, bank accounts and suppliers. Set up once.

  • The bill comes from the event

The invoice, the contract and payroll become payables or receivables on their own.

  • Every real in its place

Installments, allocation between areas, the season and the month the expense happened.

  • Payment with sign-off

The batch goes through company approval and to the bank in a single file.

  • The bank checks

The statement comes into the system and each line is matched to the right bill.

  • The month closes

A closed month no longer changes. Today's report shows the same number six months from now.

Step 1 · The setup

Four records and done.

Before the first bill, the farm defines how it wants to see its money. The upCampo team sets this up with you during onboarding.

Finance quick guide, in the Help Center (Portuguese) →
  1. Cost center

The farm's areas: headquarters, crops, fleet, cotton gin, each farm in the group. It's where the expense lives.

  2. Account category

The type of each amount: fertilizer, diesel, land lease, soybean sale. The account also says what goes into the farmer's income tax.

  3. Bank account

Each bank and the headquarters cash box, with the opening balance. Money leaves from it and comes back to it.

  4. Suppliers and customers

The same records used by inventory, with the PIX key and bank details for payment.

Step 2 · The bill comes from the event

Nobody types the invoice again.

Finance receives what the other areas of the farm have already recorded. Manual entry is only for what has no source in the system.

  • Purchase invoice

Once the invoice entry into inventory is finalized, upCampo offers to create the payable, already split by the items' accounts.

  • Sales contract

The soybean, corn or cotton contract generates the receivables.

  • Payroll and contractors

Salaries come from the employee records, and the contractor agreement generates its payments.

  • Recurring bills

Land lease, rent and loan installments: enter once and repeat for the coming months.

  • One-off bill

Receipt, invoice or bank fee, with the document that backs the entry.

  • On WhatsApp

On the full platform, UPí records the payable by text, voice or photo.

Step 3 · Every real in its place

The expense goes to the right area.

The same bill answers three questions: whose it is, which season and when. That's what makes the management report match reality.

How Accounts Payable/Receivable works (Portuguese) →
  1. Installments and terms

Cash, 30 days or 30/60/90: pick the payment terms and the due dates fill themselves in.

  2. Allocation between areas

The power bill split between headquarters and the gin, diesel between farms. A recurring split is saved by name and applied with one click.

  3. Tied to the season

Every bill belongs to a season. The 2025/26 result doesn't mix with 2026/27.

  4. The month the expense happened

Fertilizer applied in October, billed in December and paid in January, is an October expense. The bill keeps both: when it happened and when the money left.

  5. Real, dollar and guaraní

Those who buy or sell in foreign currency record the exchange rate, and reports come out in the chosen currency.

Step 4 · Payment with sign-off

Nothing goes out unapproved.

The week's payments stop being a list on paper and become a document: who put it together, who approved it, when and how much.

How the payment batch works (Portuguese) →
  1. Build the batch

Finance picks the open bills to be paid together. Before moving on, upCampo flags which supplier has no PIX key or bank account on file.

  2. The approval policy decides who signs

The company sets value ranges and, in each one, the steps: up to R$ 20,000, the manager; above that, also the director. Whoever builds the batch can't approve it.

  3. Nothing stalls when someone travels

Each step can have more than one approver, and one signature is enough. If a payment is split into smaller batches to fall into a lower range, the screen warns.

  4. One file for the bank

Once approved, the batch generates the remittance file with the PIX and TED transfers. Upload it to the bank once instead of keying in payment by payment.

  5. The bank answers, the system settles

The bank's return file comes back into upCampo: what was paid is settled with the real date and amount, and what was rejected goes back to open, with the reason.

Paying and receiving

Everyday situations, covered.

  • Interest and discount

Paid late or early: record the interest, penalty or discount when settling.

  • Partial payment

The customer paid only part: the difference becomes a new open installment, noting what was missing.

  • Withheld Funrural

The buyer withheld the tax from the payment: the withheld amount is recorded on each installment, as in the buyer's statement.

  • Several bills at once

Pay or receive several installments in a single operation.

  • Bank to cash box

Money moving between accounts is neither expense nor income: the transfer only changes balances.

  • What's still ahead

Commitments that haven't become bills yet go into the planned entries schedule, without touching the balance.

Step 5 · The bank checks

The statement matches line by line.

Reconciliation is proof that what's in the system is what's in the bank. No spreadsheet on the side.

How bank reconciliation works (Portuguese) →
  1. Import the statement

The file the bank provides, in OFX, CSV or CNAB 240. Importing the same statement again duplicates nothing: only new lines come in.

  2. Each line finds its match

upCampo shows the open bills with the same amount. Pick one, reconcile: the bill is settled with the bank's date.

  3. What wasn't in the system

The bank fee, interest earned, automatic debit: it becomes an entry right there, in the right account.

  4. Automatic where it's obvious

Automatic reconciliation clears the lines with no doubt. What's left stays pending, with name and amount, for someone to review.

  5. Who did what

Each line records who reconciled it and when, and the summary shows whether the statement came in complete.

Step 6 · The month closes

September's number stays put.

Once the month is checked, finance closes the period. From then back, no bill, installment or transfer can be added, changed or deleted.

  • The report repeats

September's income statement pulled today is the same one pulled in March. The board and the bank get the same number.

  • The system explains

A button that would touch a closed month already shows grayed out, and the tooltip says why.

  • Reopening is a decision

If something needs fixing, whoever answers for finance reopens the period, and the reopening is recorded.

What management sees

Cash and results, each its own.

Cash flow shows the money; the income statement shows the result. They don't match, and they shouldn't: October fertilizer paid in January is October result and January cash.

  1. Balance and statement

Each account's balance right now, the statement of what came in and went out, and the future statement of what's coming due.

  2. Cash flow

Inflows and outflows by period, to know whether the money lasts until harvest.

  3. Planned × actual

Month by month and by account, what was planned against what actually came in or went out.

  4. Income statement

On a cash or accrual basis, by season and by cost center. In real, dollar or guaraní.

  5. Bills by supplier and customer

What is owed to and owed by each one, by due date.

UPí on WhatsApp

Ask what's due this week.

On the full platform, UPí answers on WhatsApp with the farm's finances: what's due, what came in, each account's balance. And records payables by text, voice or photo.

If you prefer ChatGPT or Claude, ask there, through the upCampo connector.

Next step: accounting.

What finance records becomes an accounting entry in your accountant's chart of accounts, without typing it again. And for individual farmers, the cash book and the LCDPR come from the same payments.

Frequently asked questions about upCampo finance

How does upCampo finance work?

In six steps. The farm sets up the base once (cost center, account category, bank account and suppliers). The payable or receivable comes from the invoice, the contract or payroll, already with installments, allocation and season. Payment goes through a batch approved under the company's approval policy and to the bank in a file. The bank statement is imported and reconciled line by line. And the checked month is closed, so no number changes later.

Does the invoice I enter in inventory become a payable?

Yes. When you finalize the invoice entry into inventory, upCampo offers to create the matching payable, with installments and split across the items' accounts. Sales contracts, payroll and contractor agreements also generate their bills on their own.

Can I require approval before paying?

Yes, through the approval policy. The company sets value ranges and, in each range, the steps and who can sign each one. Payables go into a batch, the batch goes through the steps and only then can it be paid. Whoever builds the batch can't approve it, and the company can turn on an option that blocks any payment outside an approved batch.

Does upCampo do bank reconciliation?

Yes. You import the bank statement in OFX, CSV or CNAB 240, and each line is matched to an open bill or a transfer between accounts, or becomes a new entry, such as a bank fee. Automatic reconciliation clears the lines with no doubt, and what's left goes to the pending list. Importing the same statement twice doesn't duplicate lines.

Which banks does the payment file work with?

The remittance file, with PIX and TED, currently comes out in Banco Inter's format. Approval, settlement and statement reconciliation work with any bank. Boletos and tax slips with a barcode are paid at the bank and settled afterwards, through reconciliation or on the bill itself.

How do I separate expenses for headquarters, crops and each farm?

With cost centers and allocation. Each bill is split across the account categories and cost centers the farm wants, and a split that repeats every month is saved by name to apply with one click. Every bill is also tied to the season.

What's the difference between cash flow and the income statement?

Cash flow shows the money: it counts on the day it left or entered the bank. The income statement shows the result and can be viewed on a cash or accrual basis, the accrual month being when the expense happened. Fertilizer applied in October and paid in January is October result and January cash, which is why the two reports don't match, and shouldn't.

What happens to a month that's already closed?

Nothing dated before the close can be added, changed or deleted: bill, installment or transfer. That's what ensures a closed month's report shows the same number months later. If something needs fixing, whoever has permission to reopen undoes the close, and who did it is recorded.

Does upCampo work with dollars and guaraníes?

Yes. The farm enables up to three currencies and records the exchange rate. Bank accounts, payables and receivables and contracts get exchange fields, and reports come out in the chosen currency.

Can I record and check finances on WhatsApp?

Yes, on the full platform. UPí answers what's due, what came in and account balances, and records payables by text, voice or photo. Before saving, it shows what it will record and asks for confirmation.

Is finance part of up.360?

Yes. Finance comes with up.360, upCampo's full platform, along with accounting, the cash book and LCDPR, invoicing and UPí. It isn't sold separately and has no extra cost.

How much does upCampo finance cost?

Nothing beyond up.360. Up to 1,000 hectares, the minimum contract is R$ 15,000 per year. Prices are on the pricing page.
